D.H.T. Supercharges Efficiency, Boosts Customer Service with Prophesy


 

D.H.T., Inc. of Reese, MI, is a regional carrier serving Michigan and surrounding states. Their fleet hauls general freight including liquid fertilizer, propane, sand & gravel, lumber, and even sugar beets - an area favorite. This rapidly growing company uses Prophesy solutions for dispatching, fleet maintenance, GPS tracking, document imaging, and more.

 

For much of its 25-year history, D.H.T. was dependant on manual methods and lots of paper to manage its operations. "Our loads were tracked solely on paper slips stuck on an old-fashioned big board," said Rick Harrison, dispatcher. "We got by, but it was difficult to make heads or tails of it sometimes. On top of that, almost everything else was written by hand and had to be duplicated several times throughout the course of a given load. At the same time we were growing as a company and could barely keep up. When our fleet reached about 30 trucks, we knew we'd be in trouble if we didn't take steps to scale up our systems to accommodate our increasing fleet size."

 

In March 2007, owner Dave Hausbeck began his search for software that would help to remove some of the strain. It was not long before his search led him to a single software suite that would shoulder the burden of not only a few processes, but each and every operational need of the company.

 

After a demonstration with Prophesy account representative Kevin Pasternack, whose continued service the folks at D.H.T. have simply described as "fantastic", Hausbeck was convinced that Prophesy was the right solution for his growing company. The company implemented Prophesy Dispatch with QuickBooks® Pro Interface, Document Imaging, as well as fuel card import, brokerage capabilities, and other useful modules. Staff members also took advantage of Prophesy's comprehensive training program to quickly get up to speed.

 

Immediately the power of the system became evident. Using the QuickBooks interface, all data duplication and other headaches between their dispatching and accounting teams were eliminated. Key documentation is now digitally stored and quickly retrievable with Document Imaging. With the addition of Prophesy FleetTrax, each vehicle's preventive maintenance schedule is now accurate and current. And with Prophesy TaxTally, LogPlus, and DriverTrax fully integrated with their dispatch application, all tax reporting, log auditing, and driver management is now a snap.

 

In March 2008, D.H.T. added Prophesy's Mobile Comm GPS solution to track their fleet. They quickly realized the power of Mobile Comm as a tool to keep customers informed and happy, and they have even implemented creative ways to maximize its use. "We have actually hung a 50-inch high-definition screen in the office that is dedicated to displaying our online Tracker map, showing the GPS location of every one of our units," said Harrison. "When a customer calls looking for information on their shipment, we can give them an accurate answer inside of ten seconds. I never stop to wonder how valuable an addition this has been to our business…our customers tell us every day!"

 

D.H.T. continues to grow, now boasting a staff of 70 employees and - due to a recent acquisition - a fleet of 38 vehicles. With the help of Prophesy, each of these vehicles is maintained and tracked flawlessly, documentation is well organized, federal requirements are always met, and the D.H.T. workforce is breathing easy.

Prophesy Integrates with TransCore® to Provide Trailer Tracking


 

Prophesy's mobile communications solutions now work in tandem with the TransCore® GlobalWave satellite trailer tracking device. Prophesy has teamed up with TransCore to deliver this new functionality in an ongoing effort to broaden available technology options for our users.

 

The TransCore GlobalWave satellite trailer tracking system works like any standard GPS device, transmitting a beacon that sends its exact geographical location to a central server. Prophesy chose the GlobalWave system because of its low profile, ease of installation, and extreme durability. The device easily attaches to any surface of a trailer using ultra-strong adhesive. Once attached, the device is virtually maintenance free, with a battery life of 5-7 years and a durable design meant to handle the most rigorous conditions of the open road.

 

In your Prophesy applications, the GlobalWave device is configured and used the same as a cell phone or other mobile device used for truck tracking. The Prophesy Dispatch interface allows you to import GPS data from your GlobalWave devices and view various data about a trailer such as its current geographical location and length of time at that location. Several reports are also available to display and print this data.

 

Trailer data can also be viewed at the Prophesy Tracker website using any PC with an Internet connection. The Prophesy Tracker site contains a host of tables, charts, reports, and maps that allow you to maintain complete visibility of over a trailer's activity.

Prophesy Works with Sage® to Launch Dispatch w/Peachtree 2008® Interface


 

Prophesy Dispatch with Interface to Peachtree Accounting 2008 and later is now available! Users will enjoy a direct connection between Dispatch and Peachtree, fully eliminating the need for templates and exporting. This protects against potential mistakes such as importing incorrect files or overwriting files that have not been imported yet.

 

The 2008 interface also works with the newly added Revenue Settlement module in Prophesy Dispatch, so users can work with deductions, expenses, and a customizable settlement report for drivers. Another added convenience is that Department Masks can be defined with any number of characters for easy naming and recall.

 

In addition to robust technical improvements, the new interface is designed to be exceptionally user-friendly. While this includes several aesthetic improvements, the latest design changes also allow for added protection against data entry mistakes and other potential oversights that may otherwise occur. For instance, users can choose which parts of the interface should remain active and which should be turned off while in use.

Ask the Tech Team


 

Prophesy Dispatch and Prophesy Mileage & Routing both offer a set of mileage reports that you can use to get your drivers from point A to point B in the most efficient way possible. What many users do not know is that this mileage data can be fed into Microsoft Excel® and broken down into its parts for import into other applications, analysis of a driver's Hours of Service conditions, and several other uses. Here's how!

 

Open (or switch to) Prophesy Mileage & Routing and complete the following steps:

  1. Press F2 on your keyboard to open the Prophesy Parameters window.
  2. Click the Data Paths tab.
  3. Make sure the "Use Text Based Report" option is checked.

 

Open (or switch to) Prophesy Dispatch and complete the following steps:

  1. Press F2 on your keyboard to open the Prophesy Parameters window.
  2. Click the Mileage Parameters tab.
  3. Make sure "Driving Report Type" is set to "Full Detail w/Directions".
  4. Select "Save as System Defaults".
  5. Click OK.

 

NOTE: You only need to follow the above steps once.

 

Now, build the route of your choice and run a Driving Mile report. When the report displays on the screen, complete the following steps:

  1. Highlight the computed route using your mouse, starting with the first line after the "Origin/Destination" line. For example, if you are routing from Van Buren, AR, to Cleveland, OH, you would start your highlight directly after the line that says "Van Buren, AR to Cleveland, OH".
  2. End the highlight just before the last line of the route. In our example you would end your highlight just before the line that reads "Leg 1 - Dist 958.1, 17 Hrs, 41 Min."
  3. Once highlighted, press Ctrl+C to copy the text.
  4. Open Microsoft Excel.
  5. Place the cursor in the cell at Column A / Row 1.
  6. Press Ctrl+V to paste the text.
  7. The Entire Column A should now be highlighted. If it is not highlighted, click on the header for Column A.
  8. Once the entire column is highlighted, click Data > Text to Columns.
  9. Make sure that the "Fixed Width" option is selected (this should be the default setting).
  10. Click the Next button twice, and then click Finish.
