Prophesy Launches Training & Consulting Initiative
Due to rapid growth of our customer base, the Prophesy Training & Consulting Team has begun a major expansion of its staff and services. This is a concerted effort to meet the level of demand among our new users, as well as to extend our comprehensive menu of services to best suit the needs of our current users as they add exciting new modules.

New Dispatch Features Coming Soon
This major release of our award-winning DispatchSeries software includes several significant enhancements that are sure to streamline your workflow and increase the value of your investment. Among the key features are new scheduling and resource assignment screens, updates to the optional Document Imaging and VisiFreight modules, architectural changes to the SQL-enabled version, and more. Best of all, customers currently enrolled in our SIPP program will receive this update free of charge.
The new scheduling utility gives you a centralized location to schedule loads for future dates, assign drivers to pending loads, and even schedule vacation and other downtime for drivers to eliminate availability conflicts. Additionally, changes to the Resource Assignment screen will offer a more intuitive and detailed interface. The Training & Consulting team will offer a webinar covering these new scheduling and assignment features throughout the month of February.
The Document Imaging module has undergone significant design and functionality changes to make our users more efficient, such as batch scanning, thumbnail viewing, after-the-fact image indexing, improved searching and sorting capabilities, and PDF generation. Furthermore, users now have the ability to associate images with Master Invoices, and the system can be configured to automatically create an image of each invoice while it is printed and associate it with the appropriate load.
The VisiFreight module (formerly known as Internet Shipment Tracking Module, or ISTM) is being enhanced to offer greater configurability and access to more in-depth details on tracked shipments. For example, the VisiFreight website now displays information on every stop instead of only the origin and destination, and it will retain a configurable number of days’ worth of completed loads and their associated documents. New options are now available to control how often data is uploaded from Dispatch, and specific document images can now be uploaded so customers can easily view and print them right from the website.

Ask the Tech Team
We are often asked, “How do I customize the Dispatch Board so it appears the way I want to see it?” This is a great question with a useful answer. There are several ways to customize the Dispatch Board, some more advanced than others, so here we will explain how to get started and briefly overview the options at your disposal.
First of all, it is useful to know that you can right-click anywhere on the various Dispatch Board screens to see the available commands for that screen. Among these options you will find “Sort View” and “Customize View” options. Clicking “Sort View” opens a window that allows you to define the sort order of the list you are currently viewing. Clicking “Customize View” opens a similar window where you can hide or show any column as well as change the order of the columns. In either of these windows, simply click and drag the columns and set any other available options as necessary, and then click OK to immediately see the changes. Note that you will also find toolbar buttons that perform the same sorting and customizing functions.
Clicking the small calendar button at the upper left of any view opens a window that allows you to select a predefined or custom date range for that view. For example, if you are viewing a list of pending loads and you use the calendar button to select “Today and tomorrow”, after you click OK you will see only the pending loads with a scheduled start date of today or tomorrow.
You can also click the Options button on the toolbar to customize other Dispatch Board aspects and to set defaults. Here you will find options to define the color coding for all views and alerts, and options to configure which view is shown by default when first starting the program. You can also define a default date range for all views, set the Dispatch Board to be displayed in a split view at startup, and more. Other options are available to reset your Dispatch Board views to their default layouts, and if you are an administrative user, you have the ability to apply certain options to all users.
For advanced users, a Query button is available on the toolbar, allowing you to define database queries that filter each view according to the criteria you use. For instance, you can filter a list of loads to show only the customers in a certain state, or drivers hired within a range of dates. You can even use wildcards and partial words to show only records containing a certain string of letters; say, drivers’ last names beginning with “C”.

Armstrong Transportation Improves Response Time with DI
Prophesy customer Armstrong Transportation & Trailers, LLC of Memphis, Tennessee, has employed our dispatching, tax reporting, commercial routing, and EDI capabilities to run their business since May 2007. Their fast-paced trucking operation has seen increased success using the new Prophesy Document Imaging software to electronically store and retrieve all types of documents from BOLs and PODs to rate confirmations and customer contracts.
“I love the way it keeps all of our documents immediately available to us at any time,” said Kathy Green, Armstrong’s manager of billing and accounting. “When a customer calls asking for a POD, we can quickly look up the image file and email it right from within the program. This saves loads of time that we used to spend searching through file cabinets and faxing or mailing paperwork when we could be handling other tasks.”
