1. How do I
adjust Multiple Rate Schedules?
Adjusting rates across the board or for select rates with-in a rate schedule
right-click and select Adjust Rates
Example: changing a fuel surcharge
1) Select the rates you want to adjust
2) Select Adjust User Variable Charges
3) In Method select Set to Entered amount
4) In Charge 1 Adjustment enter the amount you want to change it to what you
want
5) Select the Adjust Button
Always double check for correction
2. How do I determine which version of
Prophesy I am currently running?
Preferences -> Company Info Tab, Program Version field. OR, Help ->
About...
3. When I try to run a report, I get a
message that someone else is printing a similar report?
If another user is not running reports, make sure that all windows within
Dispatch are
closed and click Utility > Clear Reporting Flags. Click "Yes" on the message
that appears
and try running the report again.
4. Prophesy Dispatch is Currently Being
Updated By another user.
Go to the Program Files > Prophesy > Disp folder
Delete the Lockuser.txt
5. Resetting License Locks/User Logins?
To clear the license locks for the Prophesy Dispatch
program.
Users may get a message telling them, "All the license seats are currently in
use". This
can easily be cleared up.
1. Have everyone exit the Prophesy Dispatch program.
2. Then have the Prophesy Supervisor, choose the ADMIN TOOLS buton from the
Prophesy Dispatch login screen.
3. Select RESET LOGINS and type in the supervisor's id and password.
4. Click on CONTINUE.
5. A message will display. Select YES. Another message will apear, "User Logins
are reset." At this point,
the license locks are now cleared and the users can log back in
6. The dispatch board isn't displaying
information properly, or possibly just getting
sporadic??
1. Close out of the dispatch board completely
2. Click on the File>Dispatch Board Options menu.
3. Select the RESET button on the upper left portion of the screen.
4. A Yes or No option will display. Select YES.
5. The Resetting Views screen will appear.
6. At this point, you want to select the view that is giving you the problem.
Note: The user can opt to select the option for All Views if they choose to
reset all the
views rather than just one particular view.
7. Then select RESET. Click OK.
Note: Resetting the views, puts the view back to its normal state, which means
that all
customization of that view will need to be reapplied if necessary.
7. The load-booking screen looks different
than what I am used to?
There are 3 different layouts for the Booking screen in Dispatch. To change your
layout,
open any load or book a new one, then click on Edit > Toggle Screen Layout.
Repeat this
process until you have the layout that you need. You may also set a default
booking
screen layout in you preferences under the System Defaults tab.
8. The unloaded origin in the Assignments
screen is not what it should be?
There are several possible reasons for this:
Check the record of the tractor assigned to this load. If the Check-In Date is
set in the
future, change it to a date prior to the current load.
Check your Preference settings in the System Default tab under the Resource
Management section to ensure your unloaded origin settings are set
appropriately.
If the unloaded origin is still not correct, you may reset it by clicking on the
Clear button
in the unloaded origin section and then entering the appropriate city and state,
or by
opening the Tractor record and changing the Current Location/Status.
9. I'm looking at a completely different
booking screen than that of what I normally use. What happened? How do I get
back to the screen I usually use? What is this new booking screen for?
Note: Toggling Different Booking Screens - note: this only discusses the 4.1 and
4.2 screen layouts. there is no mention of the 5.0 screen layout
Solution:
The Prophesy Dispatch Program has two different booking screens. The user has
the
option to use whichever booking screen they desire with a click of their mouse.
If for
some reason the user selected to use the other booking screen by accident, this
will walk
you through on how to toggle to the screen layout that you normally use for
booking
loads. It also serves as a reminder that Prophesy Dispatch offers two intuitive
booking
screens. Below is the Version 4.1 booking screen. This screen allows users to
view
basically everything about the shipment on one total screen.
Prophesy has recently added a second booking screen, known as the "Version 4.2
Booking Screen" here at Prophesy. This screen allows for the user to utilize a
more
keyboard entry approach for booking purposes. It also offers the ability to
further
customize the view to only show certain portions of the load to make it a faster
and easier
process. Below is the Version 4.2 Booking Screen.
The user has the ability to toggle between each booking screen as they desire.
This is
done two ways.
1. Open the Booking screen and click on the Toggle Screen Layout selection. This
will
toggle the other booking screen accordingly.<
2. Open the Booking screen, right click and choose the option for Toggle Screen
Layout
10. Unloaded Origin Tracking?
Unloaded origin tracking is one of the easiest concepts with our program,
however often,
users find it difficult to update or follow the unloaded origin tracking.
Here's something that may help you in case you become confused on why the
unloaded
origin is being tracked properly. The most important thing to understand is when
Prophesy Dispatch assigns an unloaded origin, it is actually pulling the
unloaded origin information from the tractor's record, and
not the driver's record. So if for some reason the unloaded origin isn't
assigning properly, it can most likely be resolved by verifying the information
is correct within the tractor's master record.
Select Maintain>Tractors from the Prophesy Dispatch menu
Within the tractor's master record, in the Current Status section.
Verify the Check in Date is correct, and has the correct year as well. This is
normally the
issue when it comes to unloaded origin tracking. This date is sometimes
populated by a
completion date of a load. It is possible for dispatchers to enter an invalid
date, and not
realize this when building the load, therefore updating the tractor's record
with an invalid
date. At this point, if you have determined that the date was inaccurate, you
will need to enter
an accurate date and time as needed. You will also need to correct the
Zip/St/City field for future unloaded origin tracking. The next load you create
that has this tractor assigned to it will pull the unloaded origin that you
specified in the Current Status section within the tractor's record. A
tractor's Current status does not get updated with dates prior to what the
current status shows within the tractor's master record.
For example, if the current status shows a date of 02/02/2006, and you complete
a load on the date of 03/05/2004, the tractor's record does not get updated
with the destination of that load. This is because the date in the record is
later than that of the completion date of the load. The best way to avoid
incorrect unloaded origin tracking is to verify that all the tractors have the
correct current status information within the tractor's master record, since
this is where the unloaded origin is taken from.
11. When I log into My company, it opens
the Sample Company Regardless of my selection?
This could be a problem with the user not having the necessary permissions to
the
C:Program Files\Common Files\ODBCData Sources directory.
Give the user full permissions to the above directory and re-run the Workset.exe
or Userset.exe as needed
12. When I log into the program, I get a
message that all license seats are currently in use?
You have reached the maximum number of users allowed in the system. However, if
this message is coming up in error, here's what to do. Log every user out of
the program, double click on the Prophesy icon, click on the Admin Tools button
in the Login screen, enter an admin user name and password, click on Reset User
Login, and click Continue. This should clear the logins, and users should be
able to log in as needed.
13. When I log into the program, I get a
message that I am already logged in?
If you have permissions, you will be able to click Yes to log in. Click Maintain
> Users, then click the Reset Logins button. If you do not have permissions
log in under a User with the proper permissions and follow the instructions
above.
14. Clearing Reporting Locks
Issue:
When trying to run certain reports, the user may encounter a message telling
them that another user is running a similar report, and the users are unable to
run the reports.
Solution:
Close all the windows within the program.
Click on "Utility>Clear Reporting Flags". The program will prompt you with a
yes or no option.
Click on "Yes" to clear the flags.
This message may appear even if no users are currently running reports.
15. Clearing the Posting Locks
Issue:
When trying to open any of the posting screens within the accounting menu of
Dispatch, the user may get the following message. "Another user is currently
posting. You may not run the posting function now." This message may appear
even if no users are currently using the posting screen. If you find yourself
looking at this message, here's what to do.
Solution:
Close all the windows within the program.
Click on "Utility>Clear Posting Flags". The program will prompt you with a
yes or no option.
Click on "yes" to clear the flags.
16. Clearing User Locks.
Issue:
Occasionally, the program may tell users that they are already logged into the
program when attempting to log in. There are two variances of this message. The
message below shows the message that a Dispatch supervisor might encounter. A
user without supervisor permissions may receive the following warning:
Solution:
1. Have the supervisor log into Dispatch.
2. Click on the Maintain > Users menu.
3. From this screen click the RESET LOGINS button.
4. Click on YES to clear the flags.
Only a user with "Supervisor" privileges can reset the logins in Prophesy
Dispatch. Selecting the Reset
Logins button will allow users to log back into the program.
17. Compacting and Repairing the Dispatch
Database
Prophesy Dispatch has a built in utility that we provide for users that allows
them to compact and repair the
Dispatch database. This utility should be used with caution and care. It is
recommended that before you use this utility, that the user or the user's
technician back up the databases as necessary before any of the following
procedures are done. It is always recommended to back up the software before
running any compact or repair functions on any of the Prophesy databases. For
more information on this procedure, please call Prophesy technical support at
1-800-776-6707. Once the databases are backed up properly, it's time to compact
and repair the Dispatch database.
1) Have every user exit the Prophesy Dispatch program.
2) Have a user with Admin privileges double click on the Prophesy Dispatch icon
to launch the login
screen.<
3) Click on the "Admin Tools" button.
4) There should be an option to "Compact and Repair" on the lower left. Select
it and
click "continue".
At this point, select "Yes" and follow the prompts that we provide.
I f this does not work you can try running this manually.

18. Dispatch Board Customization
Often, users will find it necessary to customize their dispatch board in ways
that they see fit to best accommodate their needs. The dispatch board allows
for this on a number of levels. While this FAQ may not show you how to
customize each view, it does explain how to get started. When using the
Prophesy Dispatch Program, there are many screens that utilize the right click
option. The dispatch board has many options on the right click menu that help
the user in customizing their board to suit their needs. The Dispatch Board
Options screen also allows for customizing. Click on the "File>Dispatch
Board Options" menu, and view the options as necessary
19. How to calculate a percent of a percent of a revenue.
25% of 93 % of Revenue

20. I need to backup my Prophesy data.
Where is the Data? And how do I do this?
A complete Prophesy backup requires all .mdb files residing in, and under the
active Prophesy folder be
copied to secure backup media. A technician familiar with your network would
best handle this. You may
also find out where your data is by going to Help > About > Info. This
will give you the exact location of your data. If you have Multi- Company
Dispatch you should do this for each company.

company will use
its own set of databases (located by default at [Mapped
drive]:\ProgramFiles\Prophesy\Disp\[Company Name]).
All of these databases must be backed up prior to updating the program.
Also, if you have numerous companies, it may be convenient (though not
necessary) to back up the file "prodsys.mdb" (located in the Disp folder),
which contains a list of your companies and their database locations. If the
Prophesy software is to be moved to a new location upon restoring the data, the
MasterCompanies table of "prodsys.mdb" must be updated with the new locations.

21. Inserting the Company Logo?
Prophesy Dispatch allows users to use their own custom logo on reports, and
freight bills. To utilize this feature, the user must follow the logo Specs. To
do this you will need the following information.
1) They need to resize their logo to match the parameters set by Prophesy.
You can choose to set the size by the following two options:
Pixel size should be 288L x 56H
2) The file format for the logo needs to be type Bitmap.
3) The name of the logo file needs to be "Logo.bmp".
This file, Logo.bmp, needs to be placed in the working Disp directory.
This Disp directory is located, by default in the Program FilesProphesyDisp
directory.
By default, there is already a file called Logo.bmp in the Disp directory.
When copying your file into this directory, just overwrite the file with your
Logo.bmp.
Once your Logo.bmp file is in the Disp directory as necessary, the reports and
freight
bills should utilize this file and show on the
printout.
NOTE: For Multi-Company Dispatch, folow the steps above. However, if dfferent
logls are used for different companies, you must copy the corresponding logo
into the company folder located in the Disp directory. These folders are the
ID\\'s that you created when you first added the company via Prophesy Dispatch.
